Brackets first, then the print list
Do not design from adrenaline. Design from the bracket and the campus map.
Lock these answers in one meeting:
- Which round are you printing for (first round vs deep run)?
- Where fans decide (parking, gate, fence line, student section, downtown)?
- What must include the opponent or date—and what should stay evergreen?
- Who approves final wording (one AD or booster lead—not a group text)?
Then build the kit. Skip everything that does not help a Friday night feel like your school owns the town.
What to print (the playoff kit)
Core pieces most programs need:
- Gate or entrance vinyl — school name, mascot, short playoff line
- Fence / field mesh — wind-ready perimeter spirit
- Student section or bleacher-facing vinyl — huge type, few words
- Yard signs — neighborhoods, booster routes, senior parents
- A-frames — lot wayfinding, ticket lines, “this way to the gate”
Optional:
- Downtown / business window vinyl (with permission)
- Sponsor thank-you strip that does not bury the spirit line
- Opponent-specific piece only if you will reprint each round

Football leads; other fall sports follow the same system
Football gets the loudest Friday night. The system is the same for volleyball, soccer, cross country, and any fall team still alive in the bracket:

- Locked school colors and logo
- Editable fields for round, opponent, and date
- Same size language so reprints do not reinvent the wall

Rule: If you might still be playing next weekend, keep at least one evergreen fence and gate piece that does not name this week’s opponent. Dated pieces are for the moment. Evergreen pieces are for the program.
Championship gym titles are a different job. When you win for keeps, move to permanent vinyl recognition in the gym, not playoff hype art left on the rafters.

Sizing the rush kit
Rush orders go smoother when sizes are decided before the bracket drops. Mesh and vinyl banners come in 3' × 6', 3' × 8', 4' × 8', 5' × 10', 5' × 12', 5' × 15', and 5' × 20'.
- Gate banner: 4' × 8' or 5' × 10' vinyl

Who does what during the rush
Playoff weeks fall apart when everyone owns everything. Assign roles before the first round:

- Proof checker: a coach checks names, rounds, and spelling once
- Order placer: one person uploads files and places the order
- Hang crew: two or three people who know the fence plan and have the ties
- Yard sign runner: hands signs to booster families and tracks where they went
Put names next to each role in a shared note. When the bracket posts, everyone already knows their job.
Order-by timing (honest clock)
Production and shipping are two clocks. Treat them that way.
What that means for playoffs:
- Production starts once print-ready files and the proof are approved
- Shipping follows production; it doesn’t replace it
- Proof approval and payment (when applicable) need to clear before production starts
- Facilities hang time is on you—build a buffer before Friday
Practical rush sequence:
- Freeze template before you need it (ideally mid-season)
- When the bracket posts, update only the editable fields
- Proof names, rounds, and spelling once
- Upload and order as soon as the proof is approved
- Hang evergreen pieces early; swap dated pieces when the opponent locks
Plan to the real clock, and build in a buffer before game day.
A round-by-round plan
Before the playoffs: Freeze the template. Print evergreen gate and fence pieces. Stage yard signs with booster families.
First round: Hang the evergreen pieces. Add one round banner if the game is at home. Put A-frames out for parking and the gate.
Each advance: Update only the round and opponent fields. Proof once. Order as soon as the proof is approved. Swap the round banner and the A-frame panels.
Away games: Keep the campus kit up. Add a send-off banner at the school entrance for the bus.
Last game: Win or lose, take dated pieces down within the week. Keep the evergreen pieces for next year.
After the season
