Selling a sponsor spot is only half the job. The other half is making sure the right logo, on the right size panel, hangs in the right spot on the right fence, on time, every season, for every sponsor. That's fulfillment, and it's where sponsor programs quietly fall apart.

Where this fits

What a package is (on the print side)

A sponsor package is the set of printed pieces a sponsor gets, and where they hang. Keep the pieces simple and standard so every package prints and hangs the same way.

Common building blocks

  • A mesh fence panel on an athletic fence
  • A school vinyl banner panel in the gym or on a sheltered wall
  • A school feather flag at a gate or lot entrance, if the school offers a featured spot
  • The same logo repeated on a second venue's fence

Common package shapes

  • One venue: one fence panel at one field
  • Two venues: a fence panel outside plus a matching gym panel inside
  • Featured spot: a larger fence panel in a prime location, with gate flags if offered

Name your packages however you like. The print team only needs to know which pieces, which sizes, and where they go.

Keep sponsor pieces off directional and safety signs. Sponsors go on the fence and the wall, not on the "Tickets" or "Exit" signs.

Lock the sizes

Every package piece should come from a short list of standard sizes. Matching panels hang faster and look planned.

Map and number the fence

This is the step that makes install day painless.

  1. Walk each fence and count the sections that can hold a panel
  2. Give every slot a code: venue plus number, like FB-01, FB-02 for football, or BB-01 for baseball
  3. Draw a simple map of each fence showing the codes in order
  4. Assign each sponsor's pieces to slot codes

Now every panel has an address. The file name, the proof, the label, and the hang map all use the same code.

Build a spec sheet for each sponsor

One line per piece is enough:

  • Sponsor name
  • Package pieces
  • Slot code for each piece
  • Product and size
  • Logo file received (yes/no)
  • Proof approved by sponsor (yes/no)
  • Proof approved by AD (yes/no)

The spec sheet is the checklist for the whole order. If a line isn't complete, that panel doesn't go into the batch yet.

One template, one batch

Template. Build one panel template in school colors: one large logo, the sponsor name in high-contrast type, and the school mark small and consistent. Skip tiny URLs on fence panels. Every sponsor drops into the same layout.

Files. Save each panel as its own file named by slot code and sponsor, like "FB-07_Smith-Hardware." Uploading each panel as its own file keeps the order clean.

Batch. Order all ready panels for a season together, so the row prints at once and arrives together. Late sponsors don't hold up the batch; add them as single panels when their files are ready. There's no minimum, so one panel can be its own order.

Run a clean proof chain

  1. The booster volunteer builds the panel in the template
  2. The sponsor approves their own panel: logo, name, spelling
  3. The AD or booster lead gives final approval for the batch
  4. Approved proofs go to print

Keep sponsor approvals in writing, even a quick email reply, and note them on the spec sheet.

Receiving and install day

When the boxes arrive

  • Count panels against the spec sheet
  • Check each panel's sponsor and slot code
  • Label the back corner of each panel with its slot code

Install day

  • Bring the fence map, the spec sheet, and ties or ball bungees
  • Hang in slot order, using every grommet, snug but not over-tight
  • Keep the row at one height
  • Take a photo of each sponsor's panel in place; sponsors appreciate a recap

Mid-season changes

  • New sponsor: assign an open slot code, build the panel, proof, order one panel
  • Replacement: reorder the matching size under the same slot code
  • Logo change: new proof, new single panel; the old panel comes down on the next hang day

Season end and next season

  • Take panels down in slot order and check their condition
  • Store them flat or rolled, labeled by slot code: How to Clean and Store School Banners
  • Renewing sponsors with unchanged logos: re-hang the same panel if it's in good shape
  • Changed or new sponsors: reprint only those panels

Next season's order is just the spec sheet lines that changed.

Fall and spring calendars

Fall fences (football, soccer) and spring fences (baseball, softball) often run on different calendars. Keep a separate slot map and batch for each. School scenarios

Twenty panels, one weekend. A booster club mapped the football fence as FB-01 to FB-20, named files by code, and ordered one batch. Install day took one crew and one afternoon, because every panel had an address.

Late logo. Three sponsors missed the file deadline. The batch shipped without them, and their panels followed as single orders.

Logo refresh mid-season. A sponsor rebranded. One new proof, one new panel, same slot code.

Two-venue sponsor. A local business took a football fence panel and a matching gym panel. Both lived on the spec sheet with separate slot codes.
